Interning at EUIJ-Kyushu

1. Objective
The aims of the internship program at the EU Institute in Japan, Kyushu (hereafter referred to as the EUIJ-Kyushu) are:

  • To provide university graduate and undergraduate students with a unique, first-hand experience of the workings of a part of an EU Center
  • To offer interns an opportunity and understanding of the objectives and goals of the EUIJ-Kyushu
  • To offer interns an opportunity to acquire practical experience and knowledge of the day-to-day work of the EUIJ-Kyushu in a multicultural and multilingual environment

2. Duration
The duration of the internship will be decided on a case-to-case basis taking into consideration the needs of the EUIJ-Kyushu and the availability of selected candidates.

3. Number of interns
The number of interns accepted will be decided each year taking into consideration the needs of the EUIJ-Kyushu and the availability of mentorship.

4. Specific Modalities

  • Internships are unpaid
  • All costs – e.g., insurance coverage, travel costs and accommodation - are to be covered fully by the intern
  • The dates of the internship will be decided no later than two weeks prior to the first day of the desired internship period in consultation with the intern
  • The intern shall be mentored by a designated staff member of the EUIJ-Kyushu during his/her internship period
  • At the end of the internship, a report by the Director of the EUIJ-Kyushu will be prepared for the intern

5. Duties of Interns
During the first week of work, the trainee and his/her mentor will finalize the description of the tasks and duties to be completed by the trainee during the in-service period.

The duties of interns will be determined on a case-by-case basis; however, they will include, in general:

  • Assisting with administrative and logistical tasks, such as organizing working groups, forums, and meetings, compiling information and documentation, preparing reports and answering queries, etc. (excluding any responsibility for financial management, official negotiations and representation)
  • Carrying out tasks of daily office work in order to deliver results, such as participating in unit or team meetings, document handling, word processing, data searching, filing, checking texts, etc.

6. Eligibility

  • A candidate should be currently enrolled as an undergraduate student or a graduate student of a university.
  • A candidate who has already obtained a full degree of higher education (a university or higher) may also apply.
  • A candidate is expected to have a good working knowledge of English and/or Japanese.

7. Application Process
Candidates must submit the following documents to the EUIJ-Kyushu Secretariat:

1) EUIJ-Kyushu Application for Internship (available here)

2) A Letter of Recommendation (no fixed form) from her/his academic advisor or another person familiar with the candidate

3) A copy of their student ID card, if applicable

If a successful candidate is NOT currently enrolled as a student of a university, copies of relevant university degrees and supporting documents of his/her current status must be submitted. The requested documents must be submitted at least 4 weeks prior to the first day of the desired internship period.

8. Selection Procedure

  • Candidates’ application materials are checked on receipt by the EUIJ-Kyushu Administrative Director to ensure that they meet the eligibility criteria.
  • Candidates may be called for an interview.
  • The Selection Panel will consist of the Director, Administrative Director, and Assistant Administrative Director of the EUIJ-Kyushu.
  • The Selection panel will make a recommendation and the EUIJ-Kyushu Executive Committee shall formally approve the acceptance of interns.
  • Successful candidates will be notified by the EUIJ-Kyushu.
